Client Service Coordinator

We, at Allgood Financial Advisory, are looking for the ideal candidate to provide excellent service and support to our clients and team! Your role is to ensure that each client receives a warm welcome at our door and provide extraordinary service through a professional, caring and responsive attitude. This role is instrumental in ensuring clients have an excellent first impression and a lasting experience by making sure all of the I’s are dotted and T’s are crossed (and there are LOTS of them!). We are looking for a conscientious team player that will enjoy interacting closely with clients and other team members. Our ideal candidate will be upbeat, energetic, warm and appreciative as well as organized, outgoing and supportive!

Primary Responsibilities and Activities:

  • Greet clients and be first line of contact serving as a liaison between advisor and client
  • Handle incoming phone calls and process incoming/outgoing mail
  • Order and maintain office supplies and manage petty cash
  • Manage the maintenance of office equipment and coordinate with custodians to resolve outstanding service issues
  • Prepare and make investment deposits and process all incoming checks and securities
  • Assist clients with operational inquiries, requests, and problems
  • Prepare and process paperwork to open/maintain client accounts as directed by the Advisor
  • Conduct client paperwork signing meetings with clients
  • Oversee the asset transfer process to ensure timely and accurate completion of transfer requests
  • Manage daily case activities in Salesforce, while maintaining accurate and complete client information
  • Arrange, coordinate and manage all client events
  • Send out weekly Market Commentary and Trade Notes
  • Track all materials related to marketing activities through Advisory and Broker-Dealer Compliance
  • Manage RMD process to track and ensure that all eligible clients will take RMD for current year
  • Assist advisor in maintaining client Annual Review process
  • Maintain client files in Salesforce/Egnyte CRM system
  • Perform compliance-related duties on a periodic basis, to include reporting of correspondence, checks, etc.
  • Conference Room and Lobby maintenance
  • Other duties as assigned

Qualifications:

  • High School diploma required, college degree preferred
  • Minimum of 3-5 years proven success in an administrative support function in an investment environment
  • Proficiency in Word, Excel, Outlook and CRM Software
  • Excellent verbal and written communication skills
  • Ability to work independently and establish priorities
  • Highly organized, attention to detail, excellent follow-through and communication
